Keeping track of cancelled bookings can be helpful because it gives you an audit trail of what was originally scheduled and when it was cancelled. This helps you understand customer behaviour and spot patterns.
It’s also useful for anything related to payments and refunds. If a customer has paid a deposit or made a full payment, having the cancelled booking on record allows you to clearly view what was paid, what was refunded, and ensures there’s no confusion later on. It provides a reliable reference point if a customer queries a charge or asks for clarification about a cancellation.
To access the Cancelled Bookings, go to Reports > Bookings > Cancelled Bookings.
Using the date pickers, select the date range you wish to view.
Using the toggles top left you can view the bookings within the date range, set by any of the following,
- Checkout date
- Checkin date
- Created date
- Cancelled date
The blue text on this page is clickable and will take you directly to the corresponding information. e.g. Booking Number will take you to the booking, Customers name will take you to the customers profile.
From this page, you can quickly view key details at a glance, including:
- Booking Reference & Area Type along with an indication of whether the booking is part of a group booking or a repeating cycle
- Customers Name and Number
- Customer Type
- Location (If you have multiple sites)
- Checkout Date and Time
- Cancelled Total - The full booking total at the time of cancellation, including any extras or adjustments.
- Booking Estimate - The estimated cost of the booking based on the service alone, without any additional charges from extras.
- Total Payments - Payments made towards the booking.
- Total Refunds - Shows any credits from payments that have been refunded back to the customer.
- Booking Status (Cancelled)
At the bottom of the summary table, you’ll see the overall totals for the selected date range, broken down by each payment group.
By clicking the icon on the far left of the entry, you can view the additional information for the booking.
- Area Type
- Checkin Date
- Created Date
- Cancelled Date
- Cancelation Reason
The Search bar lets you quickly look up a pet.
To help you search efficiently use information like:
- Booking Ref
- Customers Name
Click the Filter icon in the top right corner to open the filtering menus, where you can narrow your search by location when using the multi location plans.
If you want to show more or fewer entries on the page, use the Show Entries dropdown in the top‑right corner.
The system defaults to showing 10 entries to help reduce server load, but you can increase this up to 5,000 entries if needed.
You can also export the displayed data in different formats at any time for reporting or backup purposes:
Excel – Exports the data to a Microsoft Excel (.xlsx) file, ideal for sorting, filtering, and advanced data manipulation.
CSV – Downloads the data as a Comma-Separated Values (.csv) file, useful for importing into other software or databases.
Print – Generates a printer-friendly version of the current data for easy hard-copy reference or record-keeping.
Just a heads-up when you're ready to print or export: the system will only include the entries currently visible on your screen.
To ensure you get your full list, please remember to adjust the "Show Entries" dropdown to reflect the total number of records you need before clicking export.
