The Payments Report provides a comprehensive breakdown of all payments recorded within a selected date range or for a specific customer. It is designed to give users clear visibility of financial activity, making it easier to track incoming payments, confirm that transactions have been correctly allocated, and identify any outstanding or mismatched amounts that may require attention.
This report typically includes details such as payment dates, amounts received, payment methods and linked invoices. By presenting this information in a single, organised view, the Payments Report supports accurate reconciliation, helps highlight discrepancies, and ensures that financial records remain complete and up to date.
To access the Payments Report, go to Reports > Financials > Payments.
Using the date pickers, select the date range you wish to view the payments for.
The blue text on this page is clickable and will take you directly to the corresponding information. E.g. Invoice number will take you to the Invoice, Customers name will take you to the customers profile.
From this page, you can quickly view all key details at a glance, including:
- Payment Reference
- Payment Date
- Invoice Number - May include credit notes
- Customers Name & Number
- Location - If you have multiple sites
- Payment Amount - Received
- Fee - If included
- Net Amount - Booking total less any additional fees
- Credit Amount - If credit has been used against this invoice
- Invoice Amount - Total invoiced amount
- Unpaid - The remaining balance to pay on the invoice
- Invoice Status - Fully Paid, Partially Paid or Consolidated
- Payment Method - How the payment was made e.g. Cash, Stripe, Direct Deposit or EFTPOS
- Via - The method used to add the payment to the system, either through Stripe Online or entered manually.
At the bottom of the columns, you’ll see the overall totals for the day.
The Search bar lets you quickly look up an invoice.
To help you search efficiently use information like:
- Invoice/Credit Number
- Customers Name
Click the Filter icon in the top right corner to open the filtering menus, where you can narrow your search using specific criteria.
Select Location - Enables you to filter by location when using the multi location plans.
Select Payment Type - Enables you to filter by specific payment types e.g. payments, allocations or refunds.
Select Payment Method - Enables you to filter the report by the method used to receive the payment.
If you want to show more or fewer entries on the page, use the Show Entries dropdown in the top‑right corner.
You can also export the displayed data in different formats at any time for reporting or backup purposes:
Print – Generates a printer-friendly version of the current data for easy hard-copy reference or record-keeping.
Excel – Exports the data to a Microsoft Excel (.xlsx) file, ideal for sorting, filtering, and advanced data manipulation.
CSV – Downloads the data as a Comma-Separated Values (.csv) file, useful for importing into other software or databases.
