The Items to Invoice report provides a complete list of all un‑invoiced items linked to every booking and customer in your system. It helps you keep track of anything that still needs to be billed within a chosen date range, ensuring no income is missed.
This report makes it easy to identify items that may have been overlooked, confirm that all chargeable items are included, and quickly review outstanding income across your business.
It’s useful for preparing end‑of‑day, weekly, or monthly billing runs and helps reduce errors by highlighting un‑invoiced items early.
The report is especially valuable if you regularly add items to bookings over time, such as additional services, extras, or changes, and want to ensure everything is billed accurately.
To find and manage your Items to Invoice go to: Reports > Financials > Items to Invoice
Using the date pickers, select the date range you wish to view the payments for.
The blue text on the page is clickable and will take you directly to the corresponding information. E.g.. Customer name will take you to the Customer Profile.
From this page, you can quickly view all key details at a glance, including:
- Date - Date of booking
- Customer Name and Number
- Description - Details of the line item
- Cost
- Quantity
- Total
At the bottom of the Total column, you will see the overall total for the date range selected.
The Search bar lets you quickly look up an item or customer.
To help you search efficiently use information like:
- Part of the item description
- Customers Name
If you have multiple sites, the report allows you to filter by location. Click the blue filter button in the top-right corner, then use the 'Select Location' dropdown that appears.
If you want to show more or fewer entries on the page, use the dropdown in the top‑right corner.
The system defaults to showing 10 entries to help reduce server load, but you can increase this up to 5,000 entries if needed.
You can also export the displayed data in different formats at any time for reporting or backup purposes:
Excel – Exports the data to a Microsoft Excel (.xlsx) file, ideal for sorting, filtering, and advanced data manipulation.
CSV – Downloads the data as a Comma-Separated Values (.csv) file, useful for importing into other software or databases.
Print – Generates a printer-friendly version of the current data for easy hard-copy reference or record-keeping.
Just a heads-up when you're ready to print or export: the system will only include the entries currently visible on your screen.
To ensure you get your full list, please remember to adjust the "Show Entries" dropdown to reflect the total number of records you need before clicking export.
