The Items to Invoice page provides a centralized list of all billable items associated with every booking and customer in the system. This page is designed to streamline your billing workflow by allowing you to review, track, and invoice from this list. By using the available filters, you can easily track unbilled items, verify pricing accuracy, and process invoices and quotes, minimizing administrative errors and ensuring accurate financial records.
To find and manage your Items to Invoice go to: Customers > Items to Invoice
You can also configure your dashboard to display a live tile, giving you quick and easy access
The blue text on the page is clickable and will take you directly to the corresponding information. E.g.. Customer name will take you to the Customer Profile. Booking number will take you to the Booking.
From this page, you can quickly view all key details at a glance, including:
- Booking Reference & Customer Information
- Description of the item
- Cost
- Quantity
- Booking Status - E.g.. Unconfirmed, Checked Out, Forthcoming.

Actions - You can view the booking by clicking into the 'Booking button', or if you click on the arrow beside it, you will have the option to Edit the Invoice Item or Delete it.
You can also create a new invoice or quote simply by ticking the checkbox beside the item line, then either select

in the top right to process the item.
The Search bar lets you quickly look up a booking.
To help you search efficiently use information like:
- Booking Ref
- Customers Name
Click the Filter icon in the top right corner to open the filtering menus, where you can narrow your search using specific criteria.
Select Area - Enables you to filter by Area Type such as Daycare, Boarding or Grooming.
Select Status - Enables you to filter the list by the booking status. Eg. Forthcoming, Awaiting Checkin, Cancelled.
Portal Only - ON Enables you to filter the items to invoice only by Portal Bookings or turned to OFF will show you all items to Invoice for Admin and Portal Bookings.
If you want to show more or fewer entries on the page, use the dropdown in the top‑right corner.
The system defaults to showing 10 entries to help reduce server load, but you can increase this up to 5,000 entries if needed.
You can also export the displayed data in different formats at any time for reporting or backup purposes:
Excel – Exports the data to a Microsoft Excel (.xlsx) file, ideal for sorting, filtering, and advanced data manipulation.
CSV – Downloads the data as a Comma-Separated Values (.csv) file, useful for importing into other software or databases.
Print – Generates a printer-friendly version of the current data for easy hard-copy reference or record-keeping.
Just a heads-up when you're ready to print or export: the system will only include the entries currently visible on your screen.
To ensure you get your full list, please remember to adjust the "Show Entries" dropdown to reflect the total number of records you need before clicking export.
