Payments can be made against any invoice with an amount owing and are used for tracking amounts owing and generating financial reports.
Recording A Manual Payment
To record a manual payment on an invoice with an outstanding balance, go to the Invoice / Quote tab—either from the customer’s profile or within the booking. Click the arrow next to the blue View button to open the dropdown menu, then select Make Payment.
Alternatively, if you are on the invoice view you can just press the green Pay button at the top.
You will then be presented with the Make Payment form, pre-set with the invoice details.
Invoice – This will be selected automatically and will show the invoice number and amount owing.
Amount – The amount that was paid.
- This will be automatically set to the amount owing, or the deposit requirement amount.
- Payments larger than the amount owing must be recorded as a Bulk Payment.
Payment Method – The method of payment.
- You can add additional payment methods in Invoices & Prices settings.
Paid – The date the payment was made.
- You can prevent users from modifying the date by editing their role in Account settings.
Notes – Any additional notes to include with the payment.
Once the payment details have been entered, press the button and the payment will be recorded and the invoice updated.
