While carrying out your health check rounds, it’s important to record and access the necessary information quickly and easily.
Pet Manager’s Rounds forms are designed to support this workflow, allowing you to capture all required details on the go. You can also view the previous check at a glance, helping you track changes, monitor progress, and ensure continuity of care throughout the day.

Accessing Pending/In Progress Rounds
Depending on where you are in the system, there are several ways to access the Rounds that need completing.
From the main Dashboard tiles
You can navigate to a different Round Time by using the arrows
To access the Rounds, select the button. This will take you to a list of all pets with pending Rounds for the specified time show.
You will also see a percentage breakdown on this tile, showing how many checks are Completed, All Good, Need Monitoring, or Require Attention.
From the Booking Rounds Dashboard
On the Booking Rounds dashboard, select the button top right. This will take you to a list of all pets with pending/in progress Rounds for the specified time show.
From the main Menus
You can also access pending or in‑progress rounds by going to Bookings > Perform Rounds in the top menu.
Perform Rounds Overview
The Overview page lists all pets with Rounds scheduled for the time currently in view. This gives you an at‑a‑glance summary of their booking details and the status of each round, showing whether it has been started, in progress or fully completed, so you can easily see what still needs attention.
When managing Rounds across multiple locations, you can filter the bookings by site to view only the Rounds relevant to that location. Select the button in the top‑right corner, then use the Select Location dropdown that appears to choose the site you want to view.
The date will default to today’s date, along with the Round Time that is currently due to be initiated. You can change this by using the date picker and the dropdown menu to select a different Round Time.
Each Round Time shows a percentage that reflects whether any rounds for that time have been completed.
You can navigate to the next or previous Round Time by using the arrows.
There is also a progression indicator and status count for completed rounds top left.
The Round’s status is determined by the highest‑priority flag present. This means that if any item is marked as Requires Attention, that status will override all others and become the Round’s overall status.
To view which pets have rounds that include flagged items, navigate to the Booking Rounds dashboard by selecting the button in the top‑right corner.
Using the search bar, you can quickly locate a pets round by entering either the booking reference or the pet’s name.
To view the completed Rounds, switch on the toggle Show Completed located in the top‑right corner beneath the button.
Once the toggle is enabled, completed Rounds will be shown in green. From here, you can open any completed Round to review or edit the details if adjustments are needed.
To start a Round select the button to the right of the pets information that you wish to begin working on.
Performing a Health Check Round
When you open the Rounds form, the fields and options displayed will depend on your system’s configuration.
Pets Identity - Displays the information recorded on the pet’s profile.
Confirm Identity - If this option has been enabled, you will need to select the button to proceed. The form will remain greyed out until confirmation is completed.
Booking Info - Displays the booking information associated with the round
Notes - This section displays any notes that were added when the booking was first created, giving you quick access to important information or special instructions while completing the Round.
The top tile displays the Round Times, name, and date for the Round you are about to perform. These details are locked and cannot be changed, ensuring the Round is recorded against the correct time slot.
On the right‑hand side, you will find a summary of the previous Round. This includes any notes recorded, the date and time it was completed, and the name of the person who carried it out. This helps you quickly compare past and current checks as you work through the form.
You can use the arrow buttons to navigate through earlier completed Rounds. This allows you to compare the pet’s progress over time and keep track of any ongoing issues or patterns that have been observed.
Extras - This section lists all Extras that have been added to the booking.
You can mark an Extra as completed or remove it if it’s no longer needed
If required, you can add a new Extra by selecting the button. This helps you keep all additional services up to date throughout the pet’s stay.
| NOTE: When removing or adding extras via the round, remember to review and update the booking invoice. This step isn’t automatic, so the invoice will need to be adjusted manually. |
You can record the pet’s weight during the Round and include any relevant notes. Each entry is saved to the pet’s weight chart, which is visible on their main profile, allowing you to track changes over time.
Status Checks - For each question, select the appropriate result from the three options shown. Questions marked with an asterisk (*) are mandatory, meaning you must provide a response before the Round can be completed. This ensures that all essential checks are recorded accurately.
An observation was flagged during the previous Round, will appear beside the corresponding question, highlighted in the appropriate colour. This helps you quickly identify ongoing issues or changes since the last check.
If all observations for this Round are Good, you can speed up the process by selecting the button. This will automatically apply the Good response to every question, saving time while ensuring the Round is completed accurately.
Task List - For each task, select the check box once completed. Tasks marked with an asterisk (*) are mandatory, meaning you must provide a response before the Round can be completed. This ensures that all essential tasks are recorded accurately.
If all tasks for this Round have been completed, you can speed up the process by selecting the button. This will automatically tick every check box, saving time while ensuring the Round is completed accurately.
Notes - This section supports three different note types.
- Notes - Free‑text field for any additional information that needs to be recorded.
- Issues Observed - Free‑text field for noting any observations or concerns, with space to add further detail. if something has been flagged.
- Notes for the Customer - Free‑text field for messages intended for the pet’s parent, such as updates on how their pet is enjoying their holiday stay.
If you need to pause the Round and return to it later, simply select the button to save your progress and continue when ready.
Once completed, select the button.
