Round Times let you create customised forms with specific actions for your team to complete throughout the day. Pet Manager supports multiple rounds per day and for different pet types, allowing your facility to set defined times for required health checks and tasks, with different requirements depending on the pet type.
Once Round Times are set, bookings are automatically assigned to the correct session. Staff can then complete Status Checks, record Tasks, and add Notes within a consistent workflow, while you choose which information remains internal and which is shared with pet parents through the Customer Portal.

To manage and set up your Round times go to Settings > Customization
Then navigate to Round Times in the left side menu.
Creating a New Round Time
To add a new Round Time select the button top right.
Name - Enter a descriptive name for the Round Time.
Time - Using the time selector, enter the time you wish the round to initiate.
Start - This field defaults to today’s date, but you can change it using the date picker. Updating this allows you to create new Round times and schedule when they will take effect.
End - Use the date picker to select the date on which the round should stop being active.
| Note: Establishing both a start and end date enables the advance scheduling of round changes. These adjustments are confined to the defined period, thereby safeguarding all prior historical records from unintended alteration. |
Animal Type - Use the drop‑down menu to select the animal type that the Health Checks will be performed for when using this Round Time. The animal types will be dependent on your system configuration.
Checkin Day - When selected, the system will include Rounds on the pet’s checkin day. When unselected, Rounds for the check‑in day will not be included.
Checkout Day - When selected, the system will include Rounds on the pet’s checkout day. When unselected, Rounds for the checkout day will not be included.
In the following sections, you can choose which Actions you want to display on the form, set as mandatory, or make visible to the pet parent through the customer portal.
- Enable - When selected, this Action will appear on the rounds form so a response can be provided.
| Note: When Confirm Pet Identity is enabled, this automatically becomes a required field before the form can be started. |
- Required - When selected, an asterisk (*) is shown beside the Action to indicate that it is mandatory. The Round cannot be completed until all required questions are filled in.
- Customer Visible - When selected, the results for this Action will be visible to the pets parent through the Health Reports linked to their booking in the Customer Portal.

General
Confirm Pet Identity - Adds a confirmation button alongside the pet details, allowing you to verify that you are completing the form for the correct pet.
Status Checks
These Actions present three response options: Good, Needs Monitoring, and Requires Attention. Each response type has its own reporting area within the Rounds Dashboard, making it quick and easy to identify anything that may require follow‑up. The results are also reflected on the Rounds Calendar.
Task List
Each task includes a checkbox that can be ticked once the task is completed, and any task that has been enabled will automatically appear in the Additional Information section of the pet’s record on the booking rounds dashboard, as well as on the pet’s Health Reports, ensuring the task is visible wherever staff review the pet’s care history.
Notes
Provides free‑text boxes that allow you to enter any additional information that may be relevant to the above actions. These fields are useful when the predefined response options don’t fully capture what needs to be recorded, or when extra context, clarification, or notes would help with reporting or follow‑up.
Once completed
Round Times Overview
The overview table offers a clear summary of your Round Times, including the round name, initiation time, targeted pet type, and the total number of required checks, tasks, and notes.
From this table, you can check the active status of a Round and update the Start and End dates if needed.
You can quickly find any Round by typing part of their name into the search field.
Rounds assigned to specific pet types can be filtered by using the Select Animal Type dropdown in the top‑left corner.
Quick edits can be made to any underlined information point, by clicking the text and then selecting the blue tick to confirm the update
Additional edits can be made by clicking the Edit button to the right of the entry.
From the edit button you can also
- Clone - Creates a duplicate of the Round Time with all requirements already in place. You can then adjust the name, time, and animal type, and all Actions will remain the same.
- Delete - This option lets you remove a Round Time, but only if it has never been used. If the round has been used previously, it cannot be deleted and should instead have an end date set.
