Returns need to be recorded so the system can correctly update stock, adjust the Sales Order, and reflect the customer’s true balance. This keeps your inventory accurate and prevents issues with reporting or future orders.
By allowing returns to be logged through the Sales Order, Pet Manager makes it easy to keep your stock correct, understand why items came back, and ensure any refunds are properly recorded.

To begin a sales return from the customer’s account, open the Sales Orders tab and select the order by clicking the button on the right-hand side.
Sales Orders can also be located by navigating to Retail > Find Sales Orders and entering the order number in the search field.
Recording Returned Products
On the Returns tab, click the button on the right to open the returns processing form.
Customer - This will already be completed, as it pulls the customer information from the Sales Order.
Credit Amount - This field is pre‑set to $0. The value will populate automatically based on the quantity of items you record for return.
| IMPORTANT: Credit generated from returns will not be automatically allocated to any outstanding invoices. |
Location - For Multi‑Site users, select the appropriate return location so the stock is recorded correctly.
Non Refundable Amount - Use this field to record any portion of the product value that won’t be refunded, whether the refund is partial or not being issued at all.
Product - Automatically populated based on the Sales Order.
Current Stock - Displays the available stock for reference.
Quantity - Enter the number of items being returned for this product. The total originally purchased appears in the blue box on the right, and you can click it to auto‑fill the full amount.
Total Returned - Reflects any quantities of a product that has been returned previously on this Sales Order.
Once completed
Under the Returns tab, the Sales Order will show the return status as Pending until the process is completed.
Receive Returned Products
Once the returned items are marked as Pending, click the button to complete the returns process.
Using the date picker, select the date and time the items were received.

The items will then show with the status as being Received.
| NOTE: Any stock processed through the Returns procedure will be added back as available under the product variant. If the item is damaged or unsuitable for resale, a stock adjustment will be required. |
