Daycare Services give you the ability to group daycare with other extras (like a bus ride or a treat) into a single, flat rate. Setting them up ensures that each booking is linked to the correct service type, which supports accurate scheduling, billing, and reporting. By defining Daycare Services, you also make it easier for customers to select the right option during booking and ensure that pets are matched appropriately.

Important Note on Transitioning: We recommend setting up your new services in the background first. While you are transitioning to Daycare Services, it is best to temporarily disable daycare in the Customer Portal to avoid any booking conflicts. Please be aware that switching to this new model will replace your current daycare setup. Because this change is significant, we require all users to work with the Pet Manager team for assistance during the implementation. To create and manage your Daycare Services go to Settings > Courses, Sessions & Services
Then navigate to Daycare Services in the left side menu.
Daycare Services Overview
The Overview page displays a list of all Daycare Services, allowing quick edits to key fields. You can click directly on the underlined Name to update it, and toggle the Active status and Show Portal.
If multiple prices are configured for the service, the cost field will display “from” followed by the lowest applicable price. This indicates that pricing may vary based on factors such as customer type, pet tag, number of bookings in a week or package settings.
To make further changes to a Daycare Service, click the Edit button to open the full edit view. If you need to delete a Service, click the dropdown arrow next to Edit and choose Delete from the menu.
Services cannot be deleted if they have bookings associated, so they must be made inactive instead.
To view inactive Services, toggle the Show Inactive switch to the on position. This will display all Services that are currently marked as inactive within the Overview list.
Daycare Service Type Week Pricing
This setting determines how the system calculates the Number of Bookings in Week pricing.
Enabled (Grouped): The system totals all bookings within the same Daycare Type to determine if the "Number of Bookings in Week" threshold has been met.
Disabled (Individual): The system totals bookings for each individual service separately. A customer must meet the threshold within a single service type to trigger the pricing change.
Example: > If a customer has a booking for 'Daycare + Well-being' and a separate booking for 'Well-being Exercises', enabling this setting ensures the system counts both toward the weekly total. This allows the customer to reach a discounted price bracket more easily across multiple related services.
Adding Daycare Services
You can add a new Daycare Service with the button in the top-right.
Image Upload - Select the placeholder labelled “Click to upload logo” and choose a suitable picture from your computer or device.
Name – The label used to identify the Daycare service. This name will appear in the Daycare booking forms and be visible to customers via the portal.

The time will also appear on the portal booking form.
Description – A summary of the Daycare service, shown in both the daycare booking form and the check availability view within the customer portal. Use this field to outline what the service includes and who it’s suitable for.

Start Time / End Time – Enter the start and end times for the service. Please note that Daycare services use fixed time slots, so customers are unable to select custom times. These times will be visible on booking forms for both Admins and customers using the Portal.
Daycare Type – This setting defines the category of Daycare linked to a service, making it easier to group and organize similar daycare services together.
- It can also be used to control which services are eligible for package token redemption, ensuring tokens are only applied to relevant services.
Item Type - Specifies the item type for the service eg. Daycare.
Tag - If a specific Pet tag is selected, only pets with that tag assigned will be able to view and book this service. If you would like the service to be accessible to all pets, simply leave this field blank.
Specific Day - Allows you to restrict this service to specific days of the week. Select a day from the list, and repeat the process if you need to add multiple available days.
Specific Dates - Enables you to make the service available only on chosen dates, ideal when availability changes week to week and when the service is offered for a limited time.
| You can select up to 50 available dates for this service. For services that run on an ongoing or repeating schedule, set availability using Specific Days instead. |
Active – Indicates whether the service is currently available for use. If the service is no longer required, disable this setting to make it inactive.
Show Portal – Enable this setting to make the service visible in the customer portal. When active, customers will be able to view and book the service online.
Daycare Service Extras
Use this section to select Extras that will be bundled with this Daycare service. These items will be automatically added to any Daycare booking where this service is selected.
Important: Any global pricing set for these Extras will be overridden here. This allows you to set a unique flat rate specifically for Daycare-linked services. Please ensure your price includes all associated costs, as this will be the final amount charged to the customer.
Use the button to include an Extra. Once you select an Extra from the dropdown menu, please keep the following logic in mind:
Bus Extras: You cannot specify routes or stops here; these are selected by the customer during the booking process.
Taxi & Service Extras: You will need to select an applied time (within 3 hours of service start and end times) for these types to ensure they are scheduled correctly.
Product Extras: These are calculated at 1 unit per use. If you need to include multiple units, you will need to add the extra multiple times.
To delete an item, use the button. You can also rearrange the order of your extras by using the
handle - simply click and drag each entry to your desired position in the list.
Daycare Service Pricing
Daycare services can have multiple pricing options. When a booking cost is being calculated, the prices are checked in order and the first matching price will be used.
Customer Type – Specifies which customer group the pricing applies to.
- If no type is selected, the service pricing will be available to all customer types by default.
Number of Bookings in Week >= - This setting determines how the system calculates volume-based pricing. It specifies the minimum number of bookings required per week for a particular rate to apply.
Pet Index - Specifies the number of pets included per booking for pricing purposes. This value determines how the service cost is calculated when multiple pets are booked under the same service.
Cost – Specifies the price of the service per pet. This value is used to calculate the total charge based on the number of pets included in the booking.
Tokens – Specifies how many package tokens are required to book the service, per pet.
To add a new price layer press the button. To Remove, press the
button.

You can rearrange the order of pricing entries by using the drag-and-drop handle. Simply click and drag each price to the desired position in the list.
