This article outlines the intended purpose for each SMS template associated with individual Bookings and Group Bookings. It provides guidance on how each template is designed to support specific communication needs across various booking scenarios.
Customer Templates - will require you to create Custom Templates tailored to your needs.

To manage the SMS Templates go to Settings > Emails, Sms & Wordings
Then navigate to Sms in the left side menu.
Booking SMS Templates
Select the Booking Templates tab to view and manage the available SMS messages
New Booking (Not Portal) - This sms applies only to bookings created internally by Admin. It does not cover new bookings made through the Customer Portal, which use a separate sms template.
Changed Booking - When a booking is modified, the system generates a Changed Booking sms. Take care when enabling the Send Automatically setting, as customers could receive numerous notifications if staff regularly adjust bookings.
Booking Checkin - This sms is triggered when a Pet has been Checked In. It can be used to confirm arrival details, provide reminders, confirm the check out date and time, or share important information for the start of the service.
Booking Checkout - This sms is triggered when a Pet has been Checked Out. It can be used to thank the customer, provide follow-up details, or share any post-service notes and documentation.
Portal Booking - This sms is automatically sent to the customer when they create a new booking through the Customer Portal.
Checkin Reminder - This SMS is triggered automatically and sent the chosen number of days prior to the checkin date as a reminder.
Checkout Reminder - This SMS is triggered automatically and sent the chosen number of days prior to the checkout date as a reminder.
Departure - This sms is triggered by a specified number of days after the end of a Pet’s stay. It can be used to thank the customer, provide closure to the booking, and offer the opportunity to rebook or leave feedback
Re-book Reminder - This sms can be configured to trigger by a specified number of days based on the time frame defined under Area Types. It is used to remind customers to schedule their next booking.
Vaccination Reminder - This automated sms is sent to customers who have an upcoming booking but whose pet vaccinations are invalid. Customers with valid vaccinations will not receive this message.
Booking Late Checkin - This SMS can be configured to trigger after a specified period of time when a checkin has not occurred, serving as a reminder or a request for an update.
Combined Checkin Reminder - This SMS can be configured to trigger when more than one check‑in reminder is due to be sent for the same customer, location, area type, and date. In these cases, the system will automatically combine them into a single message,
Combined Checkout Reminder - This SMS can be configured to trigger when more than one check‑out reminder is due to be sent for the same customer, location, area type, and date. In these cases, the system will automatically combine them into a single message,
| Combined Check‑In/Out is especially helpful when a customer has more than one pet attending grooming appointments on the same day. Instead of sending separate messages for each pet, the system will generate a single SMS covering all pets and their bookings, keeping communication simple |
Booking Group SMS Templates
Select the Booking Group Templates tab to view and manage the SMS message.
New Booking Group - This sms is used when multiple bookings are created at once.
Invoice Templates
Select the Invoice Templates tab to view and manage the available SMS messages
Payment Reminder – This SMS is used when payments remain outstanding past their due date. It includes placeholder links to make accessing payment options quick and easy.
Example
- {invoice_pdf_link} - If Stripe is not enabled.
- {invoice_paynow_link} - If Stripe is enabled.
Sending SMS Templates Manually
Single Booking
To send a Booking-related sms template to a customer, open the original booking and select the sms icon located in the top-right corner. This allows you to choose and send the appropriate template directly from the booking record.

Manual SMS sending isn’t available for Bookings Groups or Invoice Templates. For Booking Groups, you will need to access the individual bookings to send the appropriate booking message. |
Customer SMS
To send a Customer related sms, open the Customers Profile and select the sms icon located in the top-right corner. From there, select the appropriate template, or create a customer message.
