This article outlines the intended purpose of each email template associated with Invoicing and Package Tokens in Pet Manager. It provides guidance on how each template supports specific communication needs across billing, token usage, and account updates.

To manage and view the Automated Email configurations go to Settings > Emails, Sms & Wordings
Then navigate to Email in the left side menu.
Invoice Email Templates
Select the Invoice Templates tab to view and manage the available emails.
Invoice - This email is triggered when a new invoice is created. It may include any invoice notes and will typically have the invoice document attached.
Quotation - This email can be sent when a quote has been created and requires viewing or acceptance by the customer. It must be sent manually, as it does not support automatic sending.
Payment Received - This email is triggered when a payment is received (excluding Stripe transactions). It may include any invoice notes and typically includes the paid invoice as an attachment.
Stripe Payment Received - This email is triggered when a payment is received via Stripe transactions. It may include any invoice notes and typically includes the paid invoice as an attachment.
Portal Accepted Quote - This email is triggered when a customer accepts their quote via the Customer Portal. It sends the newly generated invoice to the customer.
Payment Reminder - This email is triggered by a specified number of days before a payment is due. It reminds the customer of their outstanding balance and typically includes the invoice as an attachment.
Overdue Reminder - This email is triggered by a specified number of days after a payment is overdue. It reminds the customer of their outstanding balance and typically includes the unpaid invoice as an attachment.
Stripe Automated Payment Failed - This email is triggered when a Stripe payment attempt is unsuccessful. It notifies the customer that the payment could not be processed and may include the reason and guidance on how to retry or update their payment method.
Package Email Templates
Select the Package Templates tab to view and manage the available emails.
Tokens Expiring - This email is triggered by a specified number of days before the tokens purchased with a package are due to expire. It reminds the customer that they may wish to use their remaining tokens or purchase additional ones before expiry.
Tokens Expired - This email is triggered when the tokens purchased with a package have reached their expiry date. It informs the customer that the tokens are no longer valid and may include guidance on purchasing a new package.
Tokens Low - This email is triggered when the customer’s remaining package tokens fall below the defined threshold. It alerts them that their balance is running low and may include guidance on purchasing additional tokens.
