This article outlines the intended purpose of each email template associated with the Pets, Customers and Booking Postcard features in Pet Manager. It provides guidance on how each template supports specific communication needs, ensuring consistent and purposeful messaging across pet records, customer interactions and pet updates.

To manage and view the Automated Email configurations go to Settings > Emails, Sms & Wordings
Then navigate to Email in the left side menu.
Pet Email Templates
Select the Pet Templates tab to view and manage the available emails.
Vaccination Reminder - This email is triggered a specified number of days before a pet’s vaccination expires. It may include the expiry date(s) and the name(s) of the vaccination(s), especially if multiple are recorded.
Pet Birthday - This email is triggered on the pet’s recorded birthday. It sends a celebratory message wishing them a Happy Birthday.
Customer Email Templates
Select the Customer Templates tab to view and manage the available emails.
New Customer - This email is triggered when a new customer record is created. It can be used to welcome the customer, confirm their recorded email address, and provide access to the customer portal along with any relevant documents.
Portal Login - This email is used to introduce the customer portal, inviting the customer to log in. It includes the portal link and any relevant login instructions. It must be sent manually, as it does not support automatic sending.
Invoice Statement - This email is used to send customers their invoice statement for outstanding payments. When the Multi-Sites feature is being used, it can be configured to show balances across all locations or for a selected site. It must be sent manually, as it does not support automatic sending.
Configuration to select specific locations for invoice statements can be managed under the Settings tab by toggling Email Statement Location on or off
Portal Post - This email is used to inform customers that a new post has been published on the customer portal for them to view. It must be sent manually, as it does not support automatic sending.
Booking Postcard Email Templates
Select the Booking Postcard Templates tab to manage the emails.
This section does not include any default templates. It has been intentionally left open to allow you to create and name your own personalised Booking Postcard templates. These templates can be accessed and sent from within the original booking and are designed to support the inclusion of photos taken during the pet’s stay, offering a customised and memorable communication experience.
