When you use the Repeat Bookings feature, there may be occasions where the booking cycle overlaps with existing bookings or unavailable dates. These overlaps are automatically identified and can be resolved through the Automation function, helping you manage them efficiently and keep bookings accurate and error‑free.
Booking overlaps can be managed through the Automation Dashboard. Access this by going to the Navigation Top Bar menu and selecting the Automation icon where you can review and resolve any overlaps efficiently.
Automation Dashboard
The dashboard provides a table view of repeat bookings that remain uncreated and require action. Use this table to identify and resolve outstanding bookings, ensuring your schedule remains accurate and up to date.
When working with the Multi‑Site feature, you can filter bookings by site. First, click the filter button in the top‑right corner. Then, from the drop‑down menu on the left, select the location you wish to view.
Delete Selected - Provides the option to delete multiple error messages simultaneously. Individual entries can be marked using the checkbox to the left of each item. To select all visible entries, use the checkbox located in the column header.
Counters – This section displays the total number of repeat bookings processed through the system for each Area Type. Bookings with warnings or errors are highlighted by Pink counters, making it easy to identify and address them.
- For example, if a Pink counter shows 9, this indicates there are nine bookings requiring attention within that Area. Selecting a Pink counter will take you directly to the associated list of bookings.
Each area’s bookings are organised under its corresponding tab for clarity. Tabs will only appear for areas that have repeat bookings activated, helping you focus on the areas where repeat booking management is required.
The Search bar allows you to quickly locate a specific booking. You can search by:
• Booking Reference
• Customer Name (full or partial)
• Customer ID
You can sort the entries by selecting the arrow icons beside each column header. This allows you to arrange bookings either alphabetically (e.g., by customer name) or chronologically (by date).
Checkin - This field shows the date on which the booking is scheduled to begin.
Status - This field shows if a problem has been flagged as a warning or an error, helping you quickly understand the type of issue that needs attention.
Error - Provides a description of the issue that prevents the booking from being processed.
Examples.
- No Place available at the repeating time
- Booking dates cannot cross a blocked date range.
- Checkin time is closed.
Actions - Enables you to retry creating the booking or delete it by selecting the arrow next to the Replace button
Replace - Provides a way to reschedule bookings that cannot be created on the original date. Selecting the Replace button opens the original booking, where you can review details and select the next available suitable date.
| Note: When you move a booking within a repeating booking group, only that booking is updated. The dates of the other bookings in the group remain unchanged. |
