Grooming Service Windows allow grooming appointments to be scheduled within a defined time range rather than at a specific start time. This is particularly effective when pets are already on-site in daycare or boarding, as grooming durations can differ from pet to pet. It gives staff greater flexibility to manage their workflow, reduces the need for precise timing, and helps prevent bottlenecks throughout the day.

To create and manage your Grooming Services Windows go to Settings > Courses, Sessions & Services
Then navigate to Grooming Services Windows in the left side menu.
Grooming Service Windows Overview
The Overview page lists all created Grooming Sessions Windows, providing a quick summary of their key details.
The Overview page includes several filter options:
- Select Location - Available if you're using the Multi-Site plan.
- Select Grooming Type.
- Show All or Repeating Sessions Only.
- Show Past - Toggle on if you wish to view past Windows.
- Date - Using the date picker, you can choose the exact date you’d like to view.
- Search - Lets you look up windows with specific grooming types quickly
The summary information for each Window includes:
- The repeating icon will display next to the Window start date if it has been set to repeat.
Start & End - Date and time the window starts and ends.
Grooming Types - Indicates the grooming types that can be booked during the set window.
Staff - Staff member allocated to take the session.
Grooming Station- The grooming station that has been allocated for the booked window.
Availability - Indicates the total booking capacity and the number of spaces still available.
Show Portal - When selected, this makes the window visible for customers to book through the portal.
Actions - The arrow next to the View button provides options to edit the window details or clone its configuration for quick duplication. You can also delete the window, but only if no bookings are linked to it.
| Click the View button to access and manage bookings for the Window. This opens the Window's overview page. If the Window is part of a repeating cycle, the View button will open the individual occurrence. To view the full details for the complete repeating series, click on the Repeating icon. |
Grooming Window Overview Page
Within the Window Overview page, you can review the booking details for every pet assigned to that window and access each individual booking directly from the list.
You can email all recipients by clicking the email icon in the top-right corner. This opens a blank email body for you to customise.
The Edit button provides the options to;
- Edit the Windows details
- Clone Window
- Delete Window
- Delete Repeating Windows - Only visible if viewing the complete repeating series.
Functionality Summary per Tab
Overview - Provides a snapshot of pets booked into the Window, capacity and availability, invoicing status, Window notes and progress.
Repeat Windows (Visible when viewing repeating series)- Lists all dates for recurring Windows with links to access each Window individually.
Pets - Lists all pets booked into the Window, including their details and links to their profiles.
Customers - Displays all customers who have booked pets into the Window, along with their contact details, profile access links, and the option to edit their profiles.
Bookings - Displays all bookings, including pet names, booking status, and links to the original booking.

Emails/Sms - Displays all communications sent to customers via email or SMS in relation to the session
Adding a Grooming Window
To add a new Grooming Service Window, click the button located in the top-right corner of the screen.
Start & End- Set the Window’s start and end date and time by selecting the appropriate values from the date picker.
Repeating - If the Window is a one-off, leave the checkbox unticked. To create repeating Windows, tick the checkbox to reveal additional scheduling options.
Repeat Every - Select the number of weeks between each Window to define the repeat interval.

example - In the “Repeat Every” field, you would enter: 2
• This means:
The Window will repeat every 2 weeks from the selected start date.
Until - (Optional) To set an end date for the Window series, select a date from the date picker. Leave blank for no limit.
Or, Number Of Times To Repeat - (Optional) To set a specified number of times to repeat the Window. Leave blank for no limit.
Notes - Enter detailed internal notes related to the Window. These will appear on the Windows Overview page for reference.
Location - When using the Multi-Site plan, select the location where the grooming will be held.
Area - This field typically defaults to the relevant type of area for the Window being created. In this case, it defaults to Grooming
Grooming Station - Select the area/room that will be reserved for the Window. Options will be based on your system configuration.

button.
Capacity - Enter a custom capacity if it differs from the default room capacity settings.
Max Service Time - Allows you to set the maximum duration that grooming services can occupy within the Window. This can be shorter than the overall Window time, ensuring there is built‑in flexibility to handle any grooming overruns.
Grooming Types - Select the grooming types that can be booked within the Window.
Staff - Select the staff member(s) assigned to this Window. You can choose one or several, depending on who will be available.
| IMPORTANT: It is essential to ensure that each staff member has the correct grooming types assigned to them, as this determines which services they can be booked for. |
To manage a staff members availability click the button.
Once edited click the button bottom right.
Adding Bulk Windows
To add bulk Service Windows, click the button located in the top-right corner of the screen.
Adding bulk Windows follows the same steps as adding a single Window, with the additional option to assign the Windows to multiple days of the week instead of just one.
| Note: When you create a session, the system automatically updates the staff roster. Any staff members allocated to the Window will have the relevant time slots added to their schedule on the staff roster. |
Repeating Grooming Service Windows
Use this section of the Grooming Service Windows Overview Page to configure how repeating Windows are managed.
Grooming Service Auto Enable - Toggle on to automatically generate repeating Grooming Windows. If left off, Windows must be added manually.
| Note: Initial Grooming Service Windows may take up to 5 minutes to process after enabling this setting. |
Grooming Service Windows Auto Weeks - Specify how many weeks in advance the system should auto-generate repeating Grooming Windows when no end date is set. If left blank, repeating Windows will not generate.
Once edited click the button bottom right.
