A Sales Order is fulfilled once everything has been packed and shipped, either delivered to the customer or picked up in person.
Creating a Pick List and marking the products as Packed, reserves the stock and keeps it listed as on‑hand under the Product Variant until it’s ready for dispatch.
Shipping the order then completes the process, marking the Sales Order as Fulfilled and moving the stock to sold.

When adding a Sales Order under the customer’s account, the status will not show as Fulfilled until all the goods have been marked as shipped. Marking the items as shipped confirms that they have left the premises, whether they were collected by the customer or posted.

Once the Sales Order is finalised and invoiced, navigate to the Shipments tab and click the button. The Shipment process can only proceed after the order has been marked as Packed.
This will open the form to log the items that have been packed and are ready to ship. You can complete this in stages if the order becomes ready in parts.
Customers Name and Address - Will prepopulate from the customers account.
Location - If you are using the Multi‑Site feature, your stock may be distributed across several sites. Select the location from which the stock has been taken.
Dispatch Method - Select the delivery method e.g. Delivery or Pickup..
Packed Date - Using the date picker, select the date that the goods are ready to be dispatched.
Tracking Number - If the shipment includes tracked postage, enter the tracking number here for your reference.
Message - A free‑text field for adding any specific notes related to the shipment.
If a message is included in the shipment details, a button will appear on the left. Click to expand and view the message.
The following section of the form is where you enter the quantities for the units picked for the order, ready for shipment.
The example below illustrates that the first product has been packed previously and is pending the packing of the second product.
Product - Automatically populated based on the Sales Order.
Current Stock - Displays the available stock, helping you determine whether the order can be fulfilled.
Quantity - Enter the number of items being packed for this product. The total requested, or the remaining quantity still to be packed, appears in the blue box to the right. You can click this box to auto‑fill the full amount.
Total Packed - Reflects the items already packed, while the value on the right represents the total ordered.

Shipments
When the Order has been packed, the status and date packed, will be shown under the Shipments tab ready to be sent.
To mark the order as Shipped, select the button.
Using the date picker, select the date and time the order was Shipped.
The Sales Order will be updated with a date stamp confirming that the products have been dispatched and the status of the order will change to 'Fulfilled'.
You can delete either the packed items or the Shipment by selecting Delete on the right. This will return the Sales Order to the stage where the items need to be packed again and the status will revert back to Finalized.
When all products on a Sales Order have been packed and shipped, the order is marked as Fulfilled, and the Overview tab will show every stage as complete.
