Price lists are used to define the cost structure for Daycare and Boarding services. They allow you to set specific rules based on factors such as pet type, service duration, booking frequency, and seasonal rates. By configuring tailored pricing rules, you can ensure accurate charges are applied automatically during booking, helping maintain consistency and reduce manual adjustments.

To manage and create a new Price Lists go to Settings > Invoices & Prices.
Then click on Price Lists in the left side menu.
Creating a New Price List
To create a new Price List click on the button top right.
Name - Use this field to assign a unique and descriptive title to the Price List. This helps distinguish it from other pricing configurations and makes it easier to reference when applying rules to your Daycare or Boarding services. Choose a name that reflects the purpose, location, or customer group the price list is intended for.
Location - When the Multi-Site feature is enabled, this field allows you to assign a price list to a specific site. Each location can have its own tailored pricing structure.
Specific Dates - If not selected, a field will appear below allowing you to enter a start date.
Bookings Created After - Sets the start date for new pricing. Earlier bookings will use previous rates.
When Specific Dates is selected the following options will appear.
Start - Sets the Start date for new pricing. Earlier bookings will use previous rates.
End - Defines the final date for the new pricing to apply. Bookings made before this date will use the rates specified in this Price List.
Honour Pricing For Bookings Created Before - Allows you to apply a new price list without setting a Start or End date. Bookings made before the specified date will retain the previous pricing
Bookings Created After - Enables you to set a start date for the new price list—for example, from the New Year or a future date. Bookings made before this date will continue to use the previous pricing.
Once edited press the Green Save button bottom right .
Price List Overview
All created Price Lists are displayed in the Price List table, where you can quickly edit key details such as:
- Name,
- Start and End dates
- Honour Pricing For Bookings Created Before
- Bookings Created After fields
The order of Price Lists is important. The system checks pricing rules from top to bottom, so ensure they’re listed in the correct sequence to match booking priorities accurately.
You can adjust this order by selecting the up/down arrows and dragging the items into your desired position.
Click the arrow next to the blue View Prices button to reveal additional options for managing the selected price list.
Edit - Enables you to modify any existing parameter entries in the price list.
Update Future Pricing - Enables you to create a copy of the existing Price List and enter new dates to make minor amendments without having to re create all existing prices.
Copy - Creates an exact duplicate of the existing Price List, allowing you to make amendments as needed.
Viewing Price Lists
To view a Price List click on the blue button.
This table controls the pricing for your Daycare and Boarding bookings.
The order of these rules is critical, as it determines how the system matches a booking to a price. The system always checks the rules from top to bottom.
To ensure accurate pricing, place the most specific rules at the top.
For example, if you have these two rules:
- Rule A: Price for "2 Dogs"
- Rule B: Price for simply "Dog"
You must place Rule A (2 Dogs) above Rule B (Dog). If Rule B is first, the system will always match the booking to the general "Dog" price and will never check the more specific "2 Dogs" price below it.
You can adjust this order by selecting the up/down arrows and dragging the items into your desired position.
The bottom table displays any additional calculations that have been created. These will be applied to bookings that meet the specified criteria.
Creating a New Price
Within your chosen Price List click on the blue button on the top right.
Name - Enter a descriptive title for the price item. This helps identify the item easily within the Price List. This name does not appear on the invoice. (The Item/Pen Type will be used as the description).
Cost Value - Enter the amount to be charged for the item or session. The system will determine whether this amount includes or excludes tax based on your configuration settings
Tokens - This field is only relevant if you have Packages enabled in your system. If so, enter the number of tokens needed to pay for this specific charge.
Price List - Automatically populates with the name of the selected Price List. You can manually change this if you want to assign the item to a different list.
Price Calculation - Determines how the price will be applied within the booking process.
- Per Day Per Booking Charge
- Per Day Per Pen Charge
- Per Day Per Pet Charge
Addition - When selected, this price will be applied as an additional cost to any bookings that meet the defined criteria. This cost will then be added on top of the base price.
The Price Calculation selection will change when the Addition option is selected, giving additional choices. If you pick a percentage option, the Cost Value switches from $ to %, so you can enter a percent instead of a fixed price.
Price Column - Specifies the main category the system uses to generate the available selection options in the Value field. Multiple options available.
Value - Based on the main category selected in the Price Column, this field displays a drop‑down menu populated with the relevant options.
Example -
Equality Operator - Based on the Price Column and Value selected, this field provides a drop‑down menu with the relevant options available. These options will define if the price rule will be applied if :-
- Equal To
- Greater Than
- Greater Than or Equal To
- Less Than
- Less Than or Equal To
- Not Equal To
Once edited press the Green Save button bottom right
Recalculating a New Price
Once you have finished updating your pricing in the system, you have the option to update all existing bookings to reflect those new rates. Simply click the Recalculate button at the top right of the screen to apply the new charges across all records.
This will open a new window where you can enter specific criteria, such as the date range and booking types, to be included in the recalculation process.
When the recalculation process has been completed (this may take a few minutes depending on how many bookings are in your system), a new item line containing the price difference will be added to the Invoicing tab. This amount may be either positive or negative, depending on your specific price adjustments.
When you are ready to invoice the customer, you will need to click 'Invoice and Consolidate.' This action finalizes the charge and includes it in the customer's bill.
