Overview
If you utilise our customer portal functionality, the customer portal dashboard provides a way single interface to deal with bookings and pending changes coming from the customer portal.
Tiles
The top left section of the portal dashboard includes a set of tiles that provide details for bookings and pending changes.
Each of these tiles are clickable to view further information.
These tiles include:
- Bookings (Today) - Bookings received through the customer portal today
- Bookings (30 Days) - Bookings received through the customer portal in the past 30 days
- Unconfirmed - Customer Portal bookings in the system that have not been marked as confirmed.
- Uninvoiced - Customer Portal bookings in the system that have not been invoiced yet.
- Pending Changes - The number of Pending Changes received through the customer portal that have not been dealt with yet.
- Customers (30 Days) - The number of customers that have been created through the customer portal in the past 30 days.
Graph
In the top right is a graph containing booking information for bookings received through the customer portal for the 14 days surrounding today.
Bookings
At the bottom of the screen is a list of bookings awaiting confirmation. There are a set of tabs for each different area enabled in your account e.g.. Boarding, Daycare, Grooming, Training etc.
You can bulk confirm by clicking on the checkbox in the left column of the table and then pressing the Confirm Selected button.
To confirm a single booking you can press the Confirm button next to the relevant booking.
Hidden Bookings
You can turn on the "Show hidden" switch to show bookings you have previously hidden from the customer portal dashboard. These bookings would still show on the "unconfirmed bookings" page - viewable from the top widgets, dashboard and the bookings menu under filter bookings.
View
You can press the drop-down next to the confirm button in order to view the relevant booking. This will allow you to see the full details of the booking before confirming the new booking. You can confirm the booking from the booking page too.
Hide
You can also choose to Hide a particular booking. You would only normally do this with a booking that has come through the customer portal that you wish to remain as Unconfirmed. This could apply to bookings that require a deposit that you don't wish to confirm until the deposit is paid.
Pending Changes
Pending changes are items that need to be viewed before becoming a part of your database.
You can access the list of Pending Changes by clicking the Pending Changes tile or by clicking the Pending changes button in the top right.
Pending Changes handle items such as:
- Pet Images - This enables you to check that the image upload for this pet is appropriate.
- Pet Details - If a client has requested to change the details of a pet already on file you can see the requested change
- Customer Details - If a client has requested to change the details of their customer profile you can see the requested change
- Vaccination Records - This enables you to check the details of the vaccination record are as recorded in the image or PDF supplied by the client. The client is forced to upload a document to support the vaccination record details they have supplied.
- Booking Change - This will allow you to be aware of a request from a customer to change the dates of their booking and view, approve or delete it.
- Cancel Booking - This will allow you to review a request from a customer to cancel their booking. You can view, approve it or delete it. If you approve it, you are taken to the Cancel booking screen in order to deal with any Non-refundable deposits, Restoring of tokens for packages and recording a reason for cancellation.
Approving Pending Changes
You can approve the pending changes in a couple of different ways
1) Press the drop-down on the View button next to the pending change, then select Approve. This immediately approves the pending change (except Cancel booking requests which takes you to the cancel booking screen to approve non-refundable deposits, restoration of tokens and recording of a reason for cancellation.)
2) Press the View button. This will take you to the relevant Pet, Customer or Booking.
Pet
Once on the pet screen you can view the current pet details before approving the pending change.
You can also utilise this method if you can see an issue with the dates or details of a vaccination record. You can approve the pending change and then edit the vaccination to change the dates if they are incorrect.
Booking
The pending change will appear in the left column. You can view the details of booking before approving or deleting the pending change.
This might include a request to change dates or cancel a booking.
Customer
Once on the customer screen you can view the current pet details before approving the pending change.
