Once you have configured your codes to map to Xero. Continue with Step 3 and start syncing contacts.
Step 3 - Syncing Contacts
Press Start Syncing Contacts to start the process. Please be aware that if you have several thousand contacts this process could take a couple of hours to complete. You can continue to use Pet Manager and the process will happen in the background.
You can view the contacts created in Xero by logging into Xero and clicking on the Contacts menu at the top.
In Xero you will see a couple of new Groups created
Pet Manager Customers - all of your Pet Manager customers will flow through to this group. Please make sure that you only update customers in Pet Manager and not in Xero. Any changes in Xero will be overwritten the next time the data syncs from Pet Manager.
Pet Manager Suppliers - this is setup to include Pet Manager and Stripe as suppliers for Stripe payments. In the future Pet Manager will send other suppliers into this group.
Below is an example of how a customer might look in Xero once all their data is synced. Notice that it has all invoices, payments and credit notes recorded automatically against their customer record.
Step 4 - Syncing Data
Once you have commenced syncing contacts, you can select a date and start syncing data. The data sync will start automatically once the contacts have been completed.
Firstly, Select a Start Date for the sync to start from. If for example you want to sync all invoices and payments from February 2019, you would select 01/02/2019 as the start date. Pet Manager will back sync all data back to this date.
You can actually set a date in the future too if you wish. The data will only commence syncing on that date. Once you have set a sync date that has past and data has been synced you can't undo the sync.
It is important to note that if you have already entered the invoices and payments manually for a financial period, you may end up with duplicate records if you back sync. This cannot be undone so please consider wisely!
When you are ready click
and the data will sync in the background. All future entries you make in Pet Manager will automatically be synced to Xero without you having to touch anything.
