Users - Staff Allocation Time

This is a new module that allows you to plan the number of staff required for a certain date range. It does so by allocating a certain number of minutes per pet or per pen, multiplying this by the number of the pets or pens with animals in house and then adding a set figure for reception hours.

Using this report you will be able to accurately roster the correct amount of staff on to care for the pets in house.

Turning on This Module

In order to turn this module on, you need to go to Settings -> General -> Misc. Check the box for 'Enable staff allocation time?' and click 'save'.

The other option on this page is for the Default time allocation Method. You can set specific Seasons in Pet Manager to have a special time allocation method. The two options are:

• Per Animal - the number of minutes per animal type is the default used when no specific setting is made under Seasons. e.g. You allocate 10 minutes per dog and 7 minutes per cat to clean and feed them.
• Per Pen - the number of minutes per pen is the default used when no specific setting is made under Seasons. e.g. You allocate 15 minutes per dog pen to clean and feed all the animals in the pen.

Staff Allocation Time Settings

Once you have turned the module on above, you will then access further options under Settings -> Accounts/Billing.

The Staff Allocation Time section allows you to add the following information:

• Per Dog (mins) - How much time in minutes to allocate for each dog in house
• Per Cat (mins) - How much time in minutes to allocate for each cat in house
• Per Cattery Pen (mins) - HHow much time in minutes to allocate for each cattery pen with a pet in house
• Per Kennel (mins) - How much time in minutes to allocate for each kennel pen with a pet in house
• Per Other Animal Pen (mins) - How much time in minutes to allocate for each other animal pen with a pet in house (rabbits,guinea pigs etc.)
• Location - If you are using the multi-site version of Pet Manager you can restrict these costings to a specific location.

In the data table below the section where you add new staff allocation times are the existing Staff Allocation Times. From here you can edit the values by clicking on them and delete the records if required.

Reception Hours

You can also set a number of Reception Hours each day. This will add on to how many minutes are calculated by the number of animals in house. In the example below we have 2 hours for reception/admin work allocated per day on every day. You can click on the values to change them.

Seasons - Method of Calculation

For each season you have added through Settings-> Seasons, you can select 'Per Animal', or 'Per Pen' as the method of calculation for Staff Allocation Time. This allows you to change the method when you are really busy such as over the Christmas Period.

Report - Staff Allocation Time

The new Report for Staff Allocation Time can be accessed from the Reports Menu.

Select a Date Range on the right-hand side and the dates will appear down the left of the report. Depending on the method of calculation used for a particular day (either per animal or per pen), the totals for each day for the number of pets in house will be calculated. This is added to the reception hours to give you Total Staff Hours required in the right column.
